HOURS: 22-26 Hours Per Week As Assigned
REPORTS TO: Council on Aging Director
PAY RATE: $22-$25/hr DOQ/E
The Town of Rockport is seeking qualified applicants to serve as the Council on Aging Program Specialist. The Program Specialists assists with the planning and daily operations of an active senior center. Under the direction of the COA Director, source, schedule and manage new programs and special events that support the health and wellbeing of Rockport seniors. Serve as the first point of contact, greeting and assisting visitors, screening calls, scheduling appointments. Handle administrative tasks including maintaining calendars, updating the COA web page, managing data and distribution lists, attendance and fees collection. Perform similar or related duties. The ideal candidate exhibits exemplary customer service, organization and information management skills.
SUPERVISION RECEIVED:
Supervision Received: Under the direction of the Council on Aging Director, the employee is required to plan and carry out programs, including advertising and other methods of bringing programs to the Senior population. The employee is expected to maintain a current email and mailing list, updating it as necessary. They will also be responsible for sending out regular emails with content related to activities for the Senior population. The employee may also be required to fill in for the Director as necessary.
Supervision Given: Assigns and directs the project work of volunteers and vendors/contractors.
EXAMPLES OF DUTIES AND RESPONSIBILITIES:
Nature and Purpose of Contacts: The employee will work independently; however, will have daily interaction with Seniors and other members of the public.
Accountability: Duties include working independently and meeting deadlines.
- Fulfill administrative functions including greeting and assisting visitors, answering phones, scheduling appointments, maintaining calendars, performing departmental bookkeeping (processing bills and deposits from trips/classes/events), database management, organizing files, setting up rooms for classes and special events, facilitating groups as assigned by Director, ordering supplies, enhancing office efficiencies and other office management duties.
- Assist with referrals and maintaining confidentiality.
- Oversees the production (assembling, printing, mailing) of a newsletter on an assigned schedule.
- Prepares and maintains email and regular mail lists.
- Maintains My Senior Center software program as assigned.
- Gathers requests and interests for programming from the Town’s senior population.
- Develops and schedules monthly programs, educational lectures, recreational opportunities, cultural events, social activities, and mental and physical health programs.
- Special projects to further the work of the Council on Aging.
- Set up and break down tables, chairs, and other furniture/equipment.
- Additional duties as assigned by the Director.
QUALIFICATIONS:
- High School Diploma; Associate’s Degree desirable.
- Current valid driver’s license that must be maintained during the term of employment.
- Must possess more than ordinary courtesy and tact and be a proactive problem solver.
- Ability to write, edit, and review written materials and ensure their consistency and professionalism prior to dissemination.
- Proficiency in Microsoft Office Suite and Google Suite.
- Proficiency with technology including mobile devices and online resources.
- Strong preference for experience with senior populations.
